Delegate shuttles for Bengaluru conferences

Arrival waves, venue loops, marshals and manifests. The part of a conference nobody thanks you for when it works and everybody remembers when it does not.

In short

Event-day delegate shuttling in Bengaluru is quoted at ₹6,000–₹10,000 per 40-seat AC coach per day — below charter rates, because a hotel-to-venue loop covers only 60–90 km in a full conference day. Moving 500 delegates in a 90-minute window on a one-hour loop cycle takes roughly nine coaches.

Reviewed 20 September 2026 · venue notes and event-day rates reviewed before each Oct–Feb season

Event-day rates are not charter rates, and quoting the wrong one is the most common MICE budgeting error in this city

A 40-seat AC coach doing a hotel-to-venue loop is quoted at ₹6,000–₹10,000 per vehicle per day. The same coach on a local 8-hour / 80-kilometre package is ₹11,000–₹13,000, and on outstation terms it bills a 300 km daily minimum. The difference is kilometres: a venue loop is 8–20 km repeated, totalling 60–90 km across a full conference day. You are buying the vehicle's hours, its seats and its driver — not its range. If an operator quotes you per-kilometre charter rates for on-site shuttling, ask for event-day rates by name.

How many coaches a delegate wave actually needs

Worked on a 12 km round-trip hotel-to-venue loop at Bengaluru city speeds, which gives roughly a 60-minute cycle including boarding and alighting dwell. Adjust the cycle for your actual venue pairing and the arithmetic holds.

DelegatesMove windowCoach-trips neededCoaches at a 60-min cycleResulting headway
50090 minutes13 × 40-seat9 coaches≈7 minutes
80090 minutes20 × 40-seat14 coaches≈4 minutes
1,5002 hours38 × 40-seat19 coaches≈3 minutes
3,0002 hours75 × 40-seat38 coaches≈2 minutes — stagger sessions instead
Coach-trips = delegates ÷ 40. Coaches = trips ÷ (window ÷ cycle time), rounded up.Cycle time is the whole model. A venue 4 km from the hotel halves the fleet you need; one 10 km away in evening traffic doubles it. We drive the loop at the actual programme time before we quote a vehicle count, and we will tell you when the honest answer is to stagger the session rather than hire 38 coaches.

Venue notes

What changes about the transport plan depending on where your event is. This is written from operating experience; confirm current coach-access arrangements with the venue at contracting stage.

BIEC

Bengaluru's exhibition scale point: 44,000+ sq m of exhibition space with theatre capacity above 3,000. Exhibition traffic is different from conference traffic — delegates arrive over a long window and leave in a single spike, so plan light morning frequency and a heavy evening fleet.

  • 44,000+ sq m exhibition space
  • 3,000+ theatre capacity
  • Evening egress is the whole problem

Sheraton Grand Whitefield

Convention capacity above 2,500, on the eastern side. The transport consideration is Whitefield itself: any delegate movement in or out during the afternoon peak needs the 40-minute corridor buffer, and airport runs from here are a 55 km job.

  • 2,500+ convention capacity
  • Whitefield approach is the constraint
  • 55 km to BLR

Clarks Exotica

Northern, toward the airport side, which makes airport arrival transfers short and city-hotel shuttling long. Events here usually work better with delegates housed on the northern corridor than shuttled from central hotels.

  • Northern corridor
  • Short airport runs
  • Long city shuttles — house delegates north

ITC Gardenia

Central, in the Residency Road and Richmond Road grid. Coach access and standing space are tighter than at a purpose-built convention venue, so we stage vehicles off-site and call them forward rather than parking a fleet at the porch.

  • Central Bengaluru
  • Stage vehicles off-site
  • Call-forward dispatch

The Leela Palace and Shangri-La

Both central and both with the same constraint: a porch designed for cars. Delegate loading for a 300-person movement works from a nominated side entrance with marshals, not from the main lobby, and it needs to be agreed with the hotel weeks ahead.

  • Central, car-scaled porches
  • Side-entrance loading
  • Agree with the hotel early

JW Marriott and Radisson Blu Atria

Central-west, with good arterial access but tight kerbside standing. For multi-hotel conferences these pair naturally with a single loop, and the sequencing of which hotel is first matters more than the distance between them.

  • Central-west
  • Good arterial access
  • Sequence, not distance, decides the loop

Designing the arrival day

Arrival day is where conference transport is won or lost, because it is the only day where every delegate's first impression is a vehicle. Four things we insist on.

A two-hour traffic buffer, published to the organiser and defended. Bengaluru runs at 13.2 km/h in the evening peak, the airport is 35 km from the centre and 90-plus minutes away on a bad evening. A programme that assumes a 45-minute airport run for a 19:00 welcome dinner will not survive contact with a Thursday.

Wave consolidation rather than flight-by-flight vehicles. Group arrivals into two or three departures per airport wave, hold delegates in arrivals with a marshal and a branded sign, and run full coaches. It costs less and it delivers delegates to registration in groups the desk can actually process.

A manifest per vehicle, printed. Not a shared spreadsheet on a phone with no signal in the arrivals hall. Each vehicle leaves with a named marshal, a printed list and a headcount confirmed at the door.

Dispatch control, not a WhatsApp group. One coordinator with the full vehicle list, driver numbers and live locations, sitting at the venue or the main hotel. Everyone else escalates to that person. Twelve people independently phoning twelve drivers is the standard failure mode of a large Bengaluru conference and it is entirely avoidable.

What we put on the ground for a large event

People

  • A dispatch coordinator with the full fleet list, at the venue for the whole event
  • Marshals at each boarding point — airport arrivals, hotel lobbies, venue exits
  • A named duty manager reachable outside programme hours
  • Driver briefing the evening before, in person, with the route driven

Materials

  • Printed manifests per vehicle, per movement
  • Vehicle numbering and window signage matching your programme's wording
  • Route cards for each driver with the venue bay and the fallback point
  • Live location sharing with your event office from first report time

Bengaluru's MICE season and how far ahead to book

Vehicle availability, not rate, is what runs out first in this market. Rates move modestly across the year; a 20-coach fleet in January does not exist at three weeks' notice.

Billing an event: PO, proforma and actuals

Event transport is bought by a planner and paid by a client's finance team, frequently in a different city and sometimes in a different country. The billing has to be boring.

We quote event-day vehicle-days rather than kilometres, because that is what the product is: a coach, a driver and a marshal on site for a programme day. Extended hours beyond the agreed window are billed by the hour at the class rate rather than renegotiated at midnight. Airport movements are quoted separately per movement, since they are a different product with a different risk profile.

A proforma invoice goes out at contracting with the vehicle-day count, the movement schedule, named actuals (parking, airport entry, tolls) and the GST line computed at both 5% without input credit and 12% with it. For a GST-registered client the 12% invoice is almost always the lower net cost. The final invoice reconciles receipted actuals only.

For international clients or agencies billing onward, we issue in the format your finance team needs and we do it before the event, not three weeks after it.

Questions we answer daily

How much does a conference shuttle bus cost per day in Bangalore?

₹6,000–₹10,000 per 40-seat AC coach per event day for on-site delegate shuttling. That is below the ₹11,000–₹13,000 local 8-hour package because a hotel-to-venue loop covers only 60–90 km across a whole day. Ask for event-day rates by name rather than accepting charter per-kilometre pricing.

How many buses do I need to move 500 delegates?

About nine 40-seat coaches if you need the move completed inside 90 minutes on a 12 km loop with a 60-minute cycle. That gives roughly a seven-minute headway. A shorter loop cuts the fleet sharply — a venue 4 km from the hotel roughly halves the coach count for the same window.

How early should delegate transport be booked in Bengaluru?

Eight to twelve weeks for fleets above ten vehicles during the October to February peak, and four weeks for smaller events. Rates move modestly across the year but availability does not: a 20-coach fleet in January does not exist at three weeks' notice, at any price.

What traffic buffer should a MICE programme allow in Bengaluru?

Two hours on arrival day for airport-to-hotel movements. The airport is 35 km from the centre, which is 45 minutes off-peak and 90 minutes or more in the evening peak, and the city averages 13.2 km/h between about 17:30 and 20:00. Build the buffer into the programme, not into the driver's instructions.

Do you provide marshals and manifests?

Yes, on every event of scale: a dispatch coordinator with the full fleet list at the venue, marshals at each boarding point, printed per-vehicle manifests for every movement, and vehicle window signage matching your programme wording. Drivers are briefed in person the evening before, having driven the route.

Can you shuttle delegates to BIEC?

Yes. Exhibition transport differs from conference transport: delegates arrive across a long window and leave in a single spike, so the plan runs light morning frequency and a heavy evening fleet. BIEC offers over 44,000 sq m of exhibition space and theatre capacity above 3,000, and the egress is the part that needs the vehicles.

Is a shuttle loop or a scheduled departure better?

A loop when arrivals and departures are spread evenly and the venue is close. Scheduled departures when the programme has hard session times, because a published 09:15 departure that leaves at 09:15 is worth more to delegates than a bus that might come in six minutes. Most Bengaluru conferences use scheduled waves in the morning and a loop in the evening.

What happens if a session overruns and delegates are late?

The vehicles wait, and extended hours beyond the agreed window are billed by the hour at the class rate — a number fixed at contracting rather than negotiated at 23:00. Our coordinator is on site, so the decision to hold or release a coach is made by someone who can see the room, not over the phone.

Do you handle multi-hotel conferences?

Yes, and the sequencing of hotels on the loop matters more than the distance between them. A hotel that is always last in the sequence gets the worst experience every single day. We rotate the sequence across the programme and publish it, so no single hotel block absorbs all the delay.
