BLR group transfers

Group transfers to and from BLR by coach

Bus-class only. If you want a sedan to the airport, this is the wrong page — what we do is move 17, 33 or 45 people through Kempegowda on one manifest with one arrival time.

In short

Kempegowda airport is 35 km from the centre of Bengaluru — about 45 minutes off-peak and 90+ minutes in evening traffic. Group coach movements run ₹8,000–₹25,000 per transfer depending on class and zone, priced per movement rather than per kilometre because a return run falls well inside the 250 km daily minimum.

Distance and realistic drive time to BLR by zone

Off-peak uses Bengaluru's all-day average of 36 minutes 9 seconds per 10 km; evening peak uses 45 minutes 27 seconds per 10 km, both from TomTom's 2025 index. The airport itself sits 35 km from the city centre.

Coach transfer rates by vehicle class

Airport work is priced per movement rather than per kilometre. A Whitefield-to-BLR return run is about 110 km, comfortably inside the 250 km daily minimum, so per-km pricing would bill you for kilometres nobody drives.

Multi-flight arrivals and the waiting-time question

The hard part of an airport job is almost never the drive. It is that forty people arrive on six flights across four hours and every one of them expects a bus to be waiting.

There are three ways to handle it, and the right one depends on how much of the group's time you are willing to spend.

Consolidate into waves. Pick two or three departure times from the airport and group arrivals into them. A delegate landing at 10:40 waits for the 11:30 coach in the arrivals hall with a marshal and a sign. This is the cheapest option and it is what we recommend for conference arrivals, where the two-hour buffer is already built into the programme.

Run a shuttle loop. One vehicle cycling between the terminal and the hotel on a fixed headway. Works when arrivals are spread evenly and the hotel is close; wasteful when they are clustered.

Dedicate a vehicle per flight. The most expensive and the only one that gives every passenger a zero-wait arrival. Reserve it for senior visitors and for groups where an hour of waiting costs more than a vehicle day.

On waiting time specifically: we include a free waiting allowance from the scheduled landing time, not from the time the vehicle reports, so a delayed flight does not start your meter. Beyond that, waiting is charged by the hour at the class rate. Send us the flight numbers rather than the arrival times and we track the actual status ourselves — that single habit removes most airport-day phone calls.

Terminal 1, Terminal 2 and where a coach can actually stop

Kempegowda operates two passenger terminals with separate forecourts, and a coach that goes to the wrong one loses twenty minutes crossing the campus. Confirm the terminal, not just the airline — carriers move terminals, and a group booked across two flights can easily be split across both.

Coaches use designated bays rather than the kerbside lanes that cars use, and those bays are a walk from the arrivals exit. For a group with luggage, plan for a marshal at the exit holding a sign and walking the group to the vehicle rather than the driver phoning forty people individually. For departures, the same in reverse: the coach drops at the designated bay and the group walks in.

Airport entry and parking charges are billed at actuals with the receipt, as they are for every operator. The amount depends on how long the vehicle is inside the airport, which is the other reason we prefer wave consolidation over a vehicle idling for three hours.

Why a coach beats ten cabs for a forty-person arrival

This is the calculation a travel desk makes at least once a quarter, and the fare is the least important part of it.

Forty people need ten to thirteen cabs. That is ten to thirteen drivers to brief, ten to thirteen arrival times at the hotel spread across an hour, ten to thirteen invoices to reconcile, and no single person who knows where everybody is. If two cabs do not show, the travel desk finds out from a WhatsApp message at 23:40.

A coach is one vehicle, one driver, one manifest, one arrival and one invoice. For a conference it also means the group arrives together, which matters because registration desks and welcome dinners are staffed for a wave, not a trickle.

Where cabs win: genuinely scattered drops across the city, arrivals separated by more than three hours, and senior individuals who should not wait for anyone. We say so rather than selling a coach into a job it does not suit — and because we do not operate cars in Bengaluru, we have no axe to grind about which you choose.

What we need for an airport movement

At booking

  • Flight numbers, not arrival times — we track status ourselves
  • Terminal, confirmed against the airline rather than assumed
  • Headcount and an honest luggage estimate, including checked bags
  • Drop address and whether the hotel has coach access at the porch
  • A single named contact per vehicle, with a reachable number

What we bring

  • A marshal at the arrivals exit with a printed sign for groups over 15
  • Driver briefed on the bay, the terminal and the fallback if the bay is full
  • Live location shared with your coordinator from report time
  • Waiting clock that starts at scheduled landing, not at vehicle report
  • A named duty number that is answered at 02:00

Questions we answer daily

How far is Bangalore airport from the city?

Kempegowda International is about 35 km from the centre of Bengaluru, which is roughly 45 minutes off-peak and 90 minutes or more in evening traffic. From Whitefield it is about 55 km and from Electronic City about 60 km, which in the evening peak means 150 and 165 minutes respectively before any airport allowance.

How much does an airport bus transfer cost in Bangalore?

Group coach movements run ₹8,000–₹25,000 per transfer depending on vehicle class and pickup zone — roughly ₹8,000–₹12,000 for a 17-seat tempo traveller and ₹16,000–₹25,000 for a 45–50 seat coach. It is priced per movement, not per kilometre, because a return run is well inside the 250 km daily minimum.

How much buffer should I allow for a BLR airport transfer?

Two hours on top of the drive time for an international departure, and the drive time itself should use the evening-peak figure, not the off-peak one. From Whitefield that means leaving at about 15:00 for a 20:00 flight. MICE planners in Bengaluru budget a two-hour traffic buffer as standard on arrival day.

Do you charge waiting time if my flight is delayed?

The free waiting allowance runs from the scheduled landing time, not from when the vehicle reports, so a delay does not start your meter immediately. Beyond the allowance, waiting is billed by the hour at the class rate. Send flight numbers rather than times and we track the status ourselves.

Can a 45 seater coach pick up at the airport terminal?

Yes, from designated coach bays rather than the kerbside lanes cars use. Those bays are a walk from the arrivals exit, so for groups over 15 we send a marshal with a printed sign to walk the group to the vehicle. Confirm the terminal with the airline — carriers move between T1 and T2.

How do you handle a group arriving on six different flights?

Usually by consolidating into two or three departure waves from the airport, with a marshal holding the group in arrivals between flights. It is the cheapest option and fits conference programmes, which already carry a two-hour arrival buffer. A vehicle per flight is possible and is the most expensive answer.

Is a coach cheaper than cabs for 40 people to the airport?

Usually, but the fare is the least important part. Forty people need ten to thirteen cabs, which means as many drivers, arrival times and invoices, and no single point of contact. A coach is one manifest and one arrival. For genuinely scattered drops or arrivals hours apart, cabs are the better answer and we will say so.

Do you run airport transfers for airline crew?

Yes, on both ad-hoc and contracted terms. Crew movements are typically minibus-class, run to fixed report times rather than flight arrivals, and are usually better bought as a monthly contract than per movement. That prices in the employee transport bands rather than the per-movement bands on this page.

Do you provide airport taxis or cars in Bangalore?

No. This site is bus and coach class only — 12 seats and upward. We do not operate sedans or SUVs in Bengaluru and we will not book them on your behalf, because we cannot stand behind a vehicle we do not run. If your movement is two or three people, a cab aggregator is the right answer.
